Effective date: November 20th, 2025

This Privacy Policy explains how Calvary Broadcasting, Inc. (“we”, “us”, “our”) collects, uses, shares, and protects information when you visit our website at calvarybroadcasting.org, use our mobile apps, or stream our online radio services.

We are based in the United States and operate under U.S. copyright and music-licensing law. Because our website can be accessed globally, this Policy also includes information relevant to visitors from the European Economic Area (EEA) and the United Kingdom (UK).

1. Information We Collect

1.1 Listener Session Data (Streaming / SoundExchange)

When you stream our online radio broadcast, our streaming platform (including software such as AzuraCast) automatically collects certain technical and usage data, including:

  • IP address
  • Date and time of each listening session
  • Duration of your listening session
  • Device, browser, or player type (user agent)
  • The tracks and programs streamed (e.g., title, artist, station)

This information is collected in order to comply with U.S. statutory licensing and music royalty obligations, including preparation of detailed “Reports of Use” for SoundExchange and other rights organisations. These reports typically must include both track information and audience measurements for each recording.

1.2 Website & App Usage Data

When you visit our website or use our apps, we automatically collect information such as:

  • IP address and approximate location (country/region)
  • Pages viewed, links clicked, time spent on each page
  • Referring URL (the page you came from)
  • Browser type, operating system, device type
  • Error logs and performance metrics

1.3 Cookies and Tracking Technologies

We use cookies and similar technologies (such as pixels, tags, and local storage) to:

  • Make the site function securely and reliably (necessary cookies)
  • Measure usage and performance (analytics cookies)
  • Deliver and measure advertising, retargeting, and embedded third-party content (marketing cookies)

We also allow certain third-party providers (for example, Google Analytics, Google Ads, Facebook Pixel, and similar services) to place cookies or use their own identifiers on our site for analytics and marketing purposes. These third parties may collect information about your use of our site and may combine it with information they have about you from other services.

1.4 Information You Provide Voluntarily

You may provide personal information directly to us when you:

  • Contact us by email or form
  • Sign up for newsletters or accounts (if available)
  • Participate in contests, surveys, or promotions

The types of information may include your name, email address, postal address, phone number, and any other information you choose to provide.

2. How We Use Your Information

We use the information we collect for the following purposes:

  • Royalty & licensing compliance: To create and submit Reports of Use and other statutory filings to SoundExchange and similar rights organisations, and to comply with U.S. copyright law.
  • Service delivery: To operate, maintain, and improve our broadcast stream, website, and apps.
  • Analytics: To understand how visitors use our services, and to improve content, layout, and performance.
  • Marketing & advertising: To deliver and measure advertising campaigns, including retargeting, where permitted.
  • Communication: To respond to your inquiries and provide customer support.
  • Legal obligations and protection: To comply with applicable laws and regulations, and to protect our rights and the rights of third parties.

3. Legal Bases for Processing (EEA/UK Visitors)

For visitors in the EEA/UK, we rely on the following legal bases under the GDPR and UK GDPR:

  • Legal obligation: Processing listener session data and generating Reports of Use for SoundExchange and other rights organisations, where required by U.S. statutory license rules.
  • Legitimate interests: Operating and securing our services, performing basic analytics, and preventing abuse or fraud.
  • Consent: Using non-essential cookies, such as analytics and marketing cookies, and serving certain embedded third-party content (for example, YouTube embeds, social media widgets), where you grant consent through our cookie consent tool.

4. Cookies, Categories & Consent

We group cookies and similar technologies into the following categories:

  • Necessary: Required for core site and streaming functions (e.g., security, load balancing, session management). These are always active and do not require consent.
  • Analytics: Help us understand how visitors use our site (for example, pages visited, time on site). These may be provided by tools such as Google Analytics.
  • Marketing: Used for advertising, retargeting, and embedded third-party media (for example, YouTube, social media widgets, certain podcast/streaming embeds). These may use identifiers set by providers such as Google or Meta (Facebook).

On your first visit, and periodically thereafter, our cookie consent tool will ask you to choose which categories you allow. You can:

  • Accept all categories
  • Reject non-essential categories (analytics and marketing)
  • Choose specific categories (partial consent)

We respect your choices by:

  • Only activating analytics and marketing scripts (e.g., Google Analytics, Facebook Pixel, Google Ads) after you have given consent.
  • Blocking certain embedded media (such as YouTube videos or social feeds) until you enable the “Marketing” category.

You can change your choices at any time by clicking the “Cookie settings” link on our site (which reopens the consent modal).

5. SoundExchange, Reports of Use & Log Retention

As a statutory licensee under U.S. law, we are required to prepare and retain “Reports of Use” of sound recordings for SoundExchange and similar organisations. U.S. regulations currently require services to keep copies of these reports, and the underlying usage logs (such as server logs), for at least three (3) years from the date of each report.:contentReference[oaicite:2]{index=2}

In practice, to align with royalty audits and our internal record-keeping processes, we retain listener session logs and their underlying unsummarised usage data for up to five (5) years from the date of collection. After that period, we delete or irreversibly anonymise the data during our annual review cycle.

6. Data Retention

In addition to the above:

  • Listener session data & Reports of Use: Retained for up to 5 years from the date of collection, then deleted or anonymised, unless a longer period is required for ongoing legal matters.
  • Web analytics data: Retention is governed by each analytics provider’s default settings (for example, Google Analytics retention can range from 14 to 50 months depending on configuration) or until you delete your cookies or withdraw consent.
  • Marketing and advertising data: Retained in line with our marketing providers’ policies and our campaign needs, or until you withdraw consent or opt out.
  • Contact information (e.g., emails): Retained as long as necessary to respond to your inquiry and maintain records, or until you request deletion where applicable.

7. Data Sharing & Third Parties

We may share your data with:

  • Music licensing and royalty organisations: SoundExchange and similar bodies, solely for royalty calculation, distribution, and compliance.
  • Service providers: Hosting, streaming, analytics, marketing, email, and security vendors who process data on our behalf under appropriate agreements.
  • Advertising and analytics partners: For example, Google, Meta (Facebook) and similar platforms, to deliver and measure ads and analytics, consistent with your cookie consent choices.
  • Legal authorities: Where required by law, regulation, court order, or to protect our rights and the rights of others.

We do not sell your personal information to third-party data brokers.

8. International Data Transfers

Our servers, and many of our service providers, are located in the United States. If you are located outside the U.S., your information may be transferred to, stored in, and processed in the U.S. or other countries that may not provide the same level of data protection as your home jurisdiction.

Where required under EU/UK data-protection law, we rely on appropriate safeguards for such transfers (for example, standard contractual clauses) and limit transfers to what is necessary to operate our services.
